E-invoicing in Italy: FatturaPA and SdI

Understand FatturaPA and Italy’s Sistema di Interscambio: prepare invoice data, handle rejections and separate XML checks from actual delivery.

An invoice for the Italian system does not become FatturaPA merely because its filename ends in XML. The required format, recipient information and passage through Sistema di Interscambio, or SdI, belong to the same process. A readable PDF can provide a representation without replacing the structured document.

Prepare the file and its recipient

Ask your invoicing software provider which Italian export it produces and how it handles the receiving address. Check tax identifiers, customer records and commercial references before testing a submission. Do not copy a recipient code from an old invoice without confirmation: the customer may have changed providers. For a cross-border transaction, establish the applicable treatment instead of automatically repeating the domestic process. Record who confirmed the routing information and when it was checked.

Understand an SdI response

Keep the submitted file and returned message together. A rejection requires investigation of its code; a delivery problem calls for checking the recipient. Your procedure should distinguish correcting data, producing a new export and transmitting it again. KlarFakt provides neither a FatturaPA validator nor an SdI connection. An EN 16931 check cannot certify this Italian format.

Follow one invoice through to receipt

Start with one representative test invoice and the delivery channel agreed with its recipient. Record separately whether the file passed technical checks, whether transmission was accepted and whether the customer matched it to the underlying transaction. These are three different outcomes. Assign an owner to each failure and retain the original file alongside the responses. Also try a correction and a resend so that the process cannot silently create duplicate entries. A successful local validation report replaces neither a required transmission service nor an assessment of the transaction’s tax treatment.
