Switzerland: electronic invoices, PDF and federal customers
Invoice Swiss customers: distinguish business transactions from federal billing, choose PDF or structured data and preserve the right evidence.
Switzerland has its own invoicing framework. Being outside the European Union and EEA means neither that all formats are prohibited nor that every invoice must follow a European network. Start by identifying the recipient and its contractual requirements, then separate tax treatment from the delivery method. A customer’s purchasing instructions are an important part of that practical preparation.
Business customer or public authority
The cited tax authority source treats paper and electronic invoices equally. The Confederation separately describes an electronic process accepting PDF by email or structured data, with an exception for small purchases. Do not extend those instructions to every canton or public body: request the receiving department’s own instructions.
Avoid unnecessary conversion
If the customer requests PDF, check readability and references that allow matching to the order. If it requests structured data, establish the exact format and channel before converting anything. Keep the original document and its connection to the commercial transaction. Do not conclude that a file meets every Swiss requirement because a European validator accepts it. For cross-border business, clarify both partners’ requirements and the information needed for VAT treatment. Record the agreed exchange method so that later staff changes do not alter it accidentally.

Follow one invoice through to receipt
Start with one representative test invoice and the delivery channel agreed with its recipient. Record separately whether the file passed technical checks, whether transmission was accepted and whether the customer matched it to the underlying transaction. These are three different outcomes. Assign an owner to each failure and retain the original file alongside the responses. Also try a correction and a resend so that the process cannot silently create duplicate entries. A successful local validation report replaces neither a required transmission service nor an assessment of the transaction’s tax treatment.
